The Planning and Governance Division provides a leadership role within the University in the following functional areas : Planning and Institutional Performance, Risk Management, Legal Services, Governance and Policy, Higher Education & Policy, Records and Archives, and Program Management.

In this role you will be responsible for effectively maintaining University records, providing technical expertise and support to the records keeping compliance program. You will maintain records in accordance with the University’s policies and procedures, perform system administration of the University’s Electronic Document and Records Management System (EDRMS) and provide training and records management assistance. You will also contribute to the development and implementation of a continuous improvement program.

POSTE & MISSIONS :

The primary purpose of this position is to :

  • Effectively maintain University records.
  • Provide technical expertise to the management of the University’s electronic document and records management system (EDRMS).
  • Provide direct support to the University’s record keeping compliance program.

Duties at this level may include :

  • Maintain records within the University’s collections in accordance with policies and procedures of the University
  • Perform system administration of the University’s EDRMS, including implementing appropriate data quality mechanisms
  • Provide user training for the University’s EDRMS, including records management best practice
  • Provide records management assistance and advice as required
  • Contribute to the program of regular records transfers into Records Storage
  • Contribute to the program of regular appraisal and disposal of University records, consistent with Public Records Office Victoria (PROV) standards
  • Contribute to continuous improvement within the Division by providing constructive feedback on processes, systems and work practices employed and reviewing and enhancing work procedures.
  • Other duties as required.

  • Classification : Higher Education Officer Level 5 / HEO5.
  • Salary : $65,898 – $74,017 per annum, plus up to 17% superannuation.

PROFIL :

Key Selection Criteria :                           

  • A degree in information management (records and archives) or an equivalent alternate combination of relevant knowledge, training and/or experience.
  • Demonstrated understanding of records practices, and an ability to apply this understanding to the operation of large records collections.
  • Demonstrated experience in applying Retention and Disposal Schedules (RDAs) to varied collections of records.
  • Demonstrated ability to provide a high quality customer service.
  • Demonstrated ability to achieve outcomes within defined and competing deadlines.
  • Good written and oral communication skills, accuracy and attention to detail and excellent research and analytical skills.
  • Demonstrated ability to work methodically on tasks to achieve accurate results.
  • Demonstrated ability to work effectively as part of a team.
  • Good organisational skills with the ability to assist with several different projects concurrently.
  • Experience in using an Electronic Document and Records Management System (EDRMS).
  • Experience in higher and further education institutions.
